About the Role
As the Executive Project Manager, you will own the coordination, visibility, and execution accountability of strategic projects across every department at elev8.io. This is a senior role with direct access to leadership and real impact on how the company operates day to day.
This role sits at the center of the company — working closely with the VP of Operations, C-suite, and department heads to translate strategic decisions into actionable project plans and measurable outcomes.
This is an ideal role for a PM who has operated inside a marketing agency or high-growth service company, is fluent in English, and is ready to work at a company where operations, performance, and impact are at the core of the culture.
What You’ll Do
Cross-Functional Project OwnershipLead and coordinate strategic initiatives spanning multiple departments simultaneously: Media, Tech, Sales, Operations, Finance, and DeliveryOwn project timelines, milestones, and delivery accountability from kick-off through completionMaintain full project visibility across the organization through structured dashboards, status reports, and executive updatesRun project kick-off meetings, weekly standups, retrospectives, and milestone reviews with department leadsProactively identify blockers, risks, and dependencies before they become escalations
Executive & Stakeholder CommunicationServe as the primary project communication layer between leadership and delivery teamsProduce executive-ready status reports, project scorecards, and cross-departmental summaries on a weekly and monthly cadencePartner with the VP of Operations and C-level team to prioritize the project portfolio based on company OKRs and capacityTranslate strategic decisions into actionable project plans with clear ownership, timelines, and success criteria
Process Design & Continuous ImprovementDesign, document, and standardize project management workflows, SOPs, and templates across the organizationAudit existing processes across departments and identify opportunities for operational efficiencyBuild and maintain a centralized project portfolio view that gives leadership real-time clarity on all active initiativesChampion adoption of PM tools and methodologies across departments
Resource & Capacity PlanningCoordinate with department managers to forecast resource needs, flag capacity constraints, and resolve cross-team scheduling conflictsEnsure that project scope, timelines, and resource allocation are realistic and aligned before projects launchTrack project health across the portfolio and escalate when bandwidth, budget, or scope risks emerge
What You Bring
5+ years of experience in project management, with at least 2 years in a company-wide or cross-department PM capacity at a marketing agency or high-growth service companyProven track record delivering complex, multi-department projects on time and within scopeHigh proficiency in at least one PM platform: ClickUp (preferred), Asana, Monday.com, or JiraProven fluency in at least two PM methodologies: Agile/Scrum, Kanban, OKR-driven PM, RACI, Waterfall/Hybrid, or Critical Path MethodEnglish C1+: written and spoken fluency for executive communication and cross-functional coordination with US-based leadershipAbility to produce executive-ready documentation, reports, and project updates without extensive reworkStrong organizational skills and the ability to manage multiple concurrent initiatives, timelines, and stakeholdersConfident facilitating meetings with C-level executives, department heads, and delivery teams
Bonus if you have experience with:EOS (Entrepreneurial Operating System): Rocks, L10 meetings, scorecards, and accountability chartsBehavioral health, healthcare marketing, or a mission-driven service organizationAgency operations: SOW management, retainer model economics, and client delivery workflowsWorkflow automation tools connected to PM platforms (Zapier, Make)PMP, PMI-ACP, or CAPM certification
