Passionate about helping others and experienced in U.S. legal intake? Join us as a Legal Intake Specialist!
You’ll be the first point of contact for prospective clients, collecting case information, preparing documents, and delivering excellent service. Strong English communication skills and prior U.S. law firm or U.S.-based legal experience are required.
What You’ll Be Doing:
Client Intake & ScreeningAnswer initial calls, emails, and chat inquiries professionallyPre-qualify potential clients based on your law firm’s intake criteriaCollect essential case details and input data into your CRM or case management systemSet appointments or consultations with attorneys or paralegals
Lead Follow-Up & NurturingFollow up with missed calls, form submissions, or incomplete intakesKeep your intake pipeline active with consistent, friendly communicationPrevent potential clients from slipping through the cracks
Documentation & Case PrepEnsure all intake documents are accurately completed and organizedSend and follow up on retainer agreements and initial client formsMaintain intake logs and summaries for attorney review
Bilingual Support AvailableEnglish and Spanish-speaking specialists available to support diverse clienteleImprove accessibility and client experience for non-English speakers
What We’re Looking For:Mandatory: Prior experience working in a U.S. law firm or in a U.S.-based legal role.Strong English communication skills (C1 level), both written and verbal.Bilingual fluency in both Spanish and English is essential.At least a year of customer service experience, with a focus on listening, empathy, and problem-solving preferably in the U.S. Law Firm or U.S. Company.Experience in sales or client-facing roles is a must! You should be comfortable driving results and converting leads into active cases.Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).Excellent attention to detail and the ability to manage multiple tasks at once.Comfortable working remotely with a reliable internet connection and a quiet, professional workspace.Prior experience in a legal setting is a bonus, but not required.Own a laptop or desktop (8GB RAM, Core i5 or above) and a stable internet connection (minimum 10 Mbps).Availability to work US business hours.
System and Work Setup Requirements:A stable and high-speed internet connection preferably 50 MBPS or higher with backup in cases of power interruption or service provider issues.Own Desktop or laptop (not a tablet or chromebook), and a processor of Core i5 / AMD Ryzen 3 / 2013 Mac equivalent or higher; Windows 10 or above / Catalina 10.15 or newer; with up-to-date web browsers, and security software, 500GB/128 SSD storage.Headset/earphone with noise cancellation and webcam at 720p or higher resolution.A designated, quiet, and well-organized workspace free from distractions to facilitate focused work.
