Job description
Salary range: $1100 - $1200 per month.
About Us: We are a growing property management company based in Baltimore, Maryland, dedicated to providing exceptional service to property owners and residents across our portfolio. We take pride in responsive maintenance, professional communication, and structured operations that keep our communities running smoothly.
Key Responsibilities:Process and prioritize incoming maintenance requests from residents and property managers through AppFolio and other digital channels.Dispatch and schedule vendors and technicians for repairs, ensuring timely follow-through on all open work orders.Maintain accurate and up-to-date records of maintenance requests, work orders, vendor communications, and invoice history in AppFolio.Conduct follow-ups with residents and vendors to confirm work completion and ensure quality of service.Review vendor invoices for accuracy against approved work orders and submit for payment processing.Serve as the primary point of contact between residents, property managers, and vendors for all maintenance-related matters.Assist in coordinating urgent and after-hours maintenance responses using remote communication tools.Obtain owner approval before starting any work.Confirm markup on work orders prior to owner approval.Create scopes of work for unit turnovers.Gather several estimates for scopes of work and for repairs.Oversee daily activities and timesheet billing for in-house maintenance technicians.Coordinate tenant move-ins and move-outs, including completing move-out reports and processing charges for damages.Ensure properties meet company standards.Stay updated on governmental regulations related to maintenance, health, safety, and environment.Assist with contract specifications and bids.
Skills:Strong organizational and time management skills with the ability to manage multiple open work orders simultaneouslyExcellent written and verbal communication skills for professional correspondence with residents, vendors, and internal teamsHigh attention to detail for accurate record-keeping and invoice reviewComfort working in a fully digital, cloud-based environmentAbility to prioritize and escalate maintenance issues appropriatelyQualifications:2-3 years of experience in an administrative, operations, or customer service roleMaintenance coordinator experience preferred but not requiredProficiency with AppFolio or similar property management software is a plusStrong English communication (written & spoken) High-speed wired internet (200 Mbps minimum) Windows 10/11 or Mac, minimum 8GB RAM, i5 or equivalent
Setting: 100% Remote Schedule: Monday to Friday - 8:00 am to 5:00 pm (EST)
