As a Senior Event Planner, you will be a part of the Client Experience Delivery team supporting Next Generation CXO Academies and other in-person and virtual events. You’ll be a key connection point between our team in India and the Client Experience Delivery event lead for each event. As coordinator, you must ensure excellent communication while sourcing materials to meet the event’s needs, and monitoring each project’s flow through design, proofreading, print, and final delivery.The Team:The Client Experience Delivery team is a group of dedicated and skilled professionals focused on in-person and virtual event delivery excellence. The Client Experience Delivery team functions as part of Deloitte’s Signature Events Services. This team is dedicated to supporting our internal role programs and other event owners as they create experiences for chief executives throughout their careers—from navigating critical points of inflection, to designing a strategic agenda, to leading through personal and organizational change. The Signature Events Services offers innovative insight and immersive experiences to help:Facilitate the personal success of individual executives, new or tenured, throughout their life cycleElevate the relationships between them, their leadership teams and Deloitte client teamsSupport the strategic agenda for their organizations in times of disruption and transformationSignature Events Services was created to help design and support client experiences, such as Next Generation C-Suite Academies, role-based summits and conferences, including CFO Vision and Audit Committee Symposium, and is part of Deloitte’s Executive Accelerators.What you’ll do:Effectively coordinate and monitor design, proofreading, and printing projects using production tracker and resource plot.Own the production tracker to monitor progress of deliverables, understanding dependencies and communicating constraints to event leads and program teamsCoordinate orders of gifts, supplies, and materials needed for each event.Research and present innovative gift ideas for events that are in line with Firm policy and individual program budgetsAssess production requests ensuring that all information necessary for the successful completion of the product is supplied and accurate. Ensure that requests align with firm policies and brand standards. Contact event lead if additional information is required.Work with vendors to gather timelines needed for printing and ordering materials. Communicate timeline with program team and proactively remind team of approaching deadlines.Oversee production items that have been assigned to Client Experience Delivery USI team.Prepare touchpoint and other templates to be used for event communications.Collaborate with Event Leads in advance of events to review how to best support each event’s needs.Ensure clear communication of program team expectations.Perform quality check on projects prior to submission for final production. Coordinate final production with outside vendors.Manage the transfer of electronic documents to be used at events, delivery of proofs to team for review, and delivery of final products to Deloitte University.Review vendor invoices for accuracy and submit for payment processingWork with Event Leads to share leading practices and implement new procedures and technology.Strong Candidates should possess:Able to multitask in a high-volume environment. Attention to detail, organization, and great follow-up skills essential.Must be able to communicate professionally during stressful situations, maintaining composure and resolving problems effectively and positively.Self-motivated, organized, proactive, and self-managed.Required Qualifications:Bachelor’s DegreeA minimum of three years’ experience in coordination and production management with a successful record in delivery and client satisfaction.A good understanding of general business operations with advanced knowledge of Microsoft Office Suite.Experience required to anticipate and address potential problems or questions regarding projects.Strong English and Spanish, oral and written communication skillsAbility to work evenings and weekends during an event (infrequent).Must be legally authorized to work in the Costa Rica without the need for employer sponsorship, now or at any time in the futureAbility to travel as neededPreferred Qualifications:Professional services firm or agency experience a plus
