Job Essentials, Responsibilities, and DutiesProject Accounting & Billable HoursTrack billable and non-billable hours across projects, matters, or clients, ensuring time is entered and coded accurately and on timeAssign and allocate costs — labor, expenses, subcontractor or outside consultant fees — to the correct project, matter, or client accountPrepare and review work-in-progress (WIP) reports, and monitor project budgets and fee status against actualsSupport project-based invoicing and billing cycles, ensuring billable time and expenses are captured completely and invoiced accuratelyReconcile unbilled time and unbilled costs, and follow up with project managers or partners on discrepancies or missing entriesAssist with monitoring fee arrangements and contract compliance (e.g., fixed-fee, time-and-materials, AIA billing formats for architecture firms)Support client- or project-level profitability analysis, including realization and utilization reporting
Accounting & BookkeepingMaintain and reconcile general ledger accounts on a monthly, quarterly, and annual basisProcess accounts payable and accounts receivable transactions accurately and in a timely mannerPrepare and post journal entries, accruals, and adjustments, including project cost allocationsAssist in the preparation of monthly financial statements and management reports, including by-project or by-client detailPerform bank and credit card reconciliations and resolve discrepancies promptlySupport month-end and year-end close processes
Compliance & ReportingEnsure all financial transactions comply with GAAP and internal company policiesAssist in the preparation of tax filings, audits, and regulatory reportingMaintain organized and accurate financial records and documentation for audit readiness, including project/matter-level backupIdentify and communicate discrepancies or concerns to the accounting manager
Cross-Functional SupportCollaborate with project managers, partners, or principals to gather time, cost, and billing dataAssist with budget preparation, forecasting, and variance analysis by project or clientRespond to vendor, client, and internal inquiries regarding financial transactions and project billingSupport special projects and process improvement initiatives as needed
Core Qualifications (Strongly Preferred)Bachelor's degree in Accounting, Finance, or a related field (highly preferred)1–3 years of accounting or bookkeeping experience in a professional settingExperience with project-based or professional services accounting strongly preferred (e.g., law firm, architecture/A&E, engineering, or consulting environment)Understanding of job costing, work-in-progress (WIP), and billable/non-billable time trackingProficiency in English (written and verbal) is requiredSolid understanding of GAAP and standard accounting principlesExperience with accounting or time-and-billing software (e.g., QuickBooks, NetSuite, SAP, Deltek Vision/Vantagepoint, Aderant, Elite, BQE Core, or similar)Proficiency in Microsoft Excel, including formulas, pivot tables, and data analysisStrong attention to detail and commitment to accuracy
Additional Experience & SkillsExcellent organizational skills and ability to manage multiple priorities and deadlines across many concurrent projects or clientsComfortable working with timekeepers, project managers, or partners to ensure accurate time and cost allocationStrong analytical and problem-solving abilitiesEffective written and verbal communication skills for cross-departmental collaborationSelf-motivated, detail-oriented, and able to work both independently and as part of a teamA proactive mindset with a continuous improvement approach to financial and billing processes
