Accounts Payable Specialist

About the role

Latino Legends is hiring an Accounts Payable Specialist on behalf of a leading real estate and property management firm. The client owns multifamily properties and handles property management, construction, asset management, marketing, and recruiting in-house. The organization operates using the Entrepreneurial Operating System (EOS) across offices in the U.S. and Mexico City as an AI-first organization.

Reporting to the Controller, you will record valid invoices to the correct entities and accounts, prepare approved payments by their due dates, and manage payroll, bonuses, and reimbursements. Work must be precise, properly supported, fully approved, and completed on schedule.

This is a BYOD role. You are responsible for providing your own laptop and equipment needed to perform your work remotely and must bring and use your own equipment at the office on in-office days.

Responsibilities

• Record invoices with the correct property, entity, account, and project code, and routinely audit for duplicates or missing information.
• Secure budget owner sign-offs and evidence of completed work. Hold suspicious or unsupported invoices, and require contract support and separate approval for advance payments.
• Keep vendor tax records, payment details, and required documentation up to date. Escalate missing records to the Compliance Coordinator or responsible owner.
• Verify pay rates and hours as part of payroll execution.
