The Human Resources Specialist is responsible for supporting daily HR operations, ensuring smooth onboarding processes, maintaining accurate employee records, and managing administrative HR activities. This role plays a key part in enhancing employee experience while ensuring compliance with internal policies and systems.
Recruitment & Pre-EmploymentCoordinate and manage candidate background checks.Communicate with new hires to request and collect required documentation and forms.Draft employment contracts and hybrid work agreements according to the requirements defined by the respective department. Send the contracts to new hires. Collect the signed documents and save them in each employee’s electronic file (e-file).Request and follow up on residence or work authorization documentation when applicable to be compliant with our hybrid policySupport Onboarding & Employee ExperienceExecute onboarding activities, including:Creating employee profiles in the biometric system.Assigning TAGs and access credentials.Distributing new hire kits and Edenred cards.Conducting office tours for new employees.Prepare communications and send them to the HR person in charge of sending themNew hire announcements.Birthday and work anniversary notifications.HR Operations & AdministrationManage HR mailbox by reviewing and forwarding inquiries to the appropriate HR team members.Maintain and update employee electronic files (e-files) ensuring accuracy and completeness.Track and update job descriptions and maintain records of revisions. Workforce Data & ReportingUpdate and maintain HR tools and systems with employee data changes.Upload payroll-related information accurately and in a timely manner.Monitor and update Work From Office (WFO) attendance and complete relevant tracking workbooks.Compliance & Record KeepingEnsure all employee documentation is properly filed and stored in organized e- folders.Maintain accurate employee records in accordance with company policies and legal requirements.
Qualifications:Bachelor’s degree in Human Resources, Business Administration, or related field.2–4 years of experience in HR operations or a similar role.Strong organizational skills and attention to detail.Ability to manage multiple tasks and meet deadlines.Excellent communication and interpersonal skills.Experience with HR systems and tools (HRIS, payroll systems) is preferred.Proficiency in Microsoft Office (Excel, Outlook, Word).
