We are seeking a highly organized, proactive, and high-trust Executive Assistant to support a fast-paced Principal in a real estate investment company focused on land acquisitions, select commercial projects, and owner-financed transactions.
This is not a traditional administrative role. You will act as a true force multiplier—protecting the Principal’s time, driving execution, and ensuring that deals and priorities move forward without friction. This role is ideal for someone who thrives in high-performance environments, loves structure, and takes ownership without needing constant direction.
What Success Looks LikeThe Principal’s calendar is protected and optimized around high-value workDeals progress efficiently from pipeline to closingAll tasks, deadlines, and follow-ups are tracked and executedInformation and documents are clean, organized, and instantly accessibleMeetings are productive, with clear action items and accountability
Key ResponsibilitiesExecutive Support & CommunicationOwn complex calendar management, scheduling, and confirmationsManage high-volume inbox and communications (email, text, calls)Draft and proofread emails, memos, and internal communicationsPrepare meeting briefs, agendas, and track follow-up actionsDeal & Transaction CoordinationMaintain and manage real estate deal pipeline (land, commercial, owner-finance)Coordinate due diligence, documentation, and closing processesLiaise with brokers, title/escrow, attorneys, lenders, and vendorsOrganize deal files and data rooms with strong version controlTrack key contract dates and deliverables from LOI to closingOperations & OrganizationBuild and maintain structured digital filing systemsTrack deadlines, deliverables, and priorities across projectsCreate SOPs, templates, and checklists to improve efficiencyAssist with invoice coordination and vendor documentationEOS & Business Rhythm SupportSupport Level 10 meetings, notes, and action trackingHelp manage priorities, Rocks, and weekly reportingEnsure accountability and follow-through on key initiativesTravel & Logistics CoordinationCoordinate multi-state travel, accommodations, and logisticsBe available to travel on request with minimal noticeEnsure environments (homes, hotels, offices) are fully preparedManage complex scheduling scenarios with zero margin for error
Required QualificationsValid U.S. travel visa and availability to travel on request with minimal notice3+ years supporting a senior executive (EA, Operations Assistant, or Chief of Staff-type support)Strong organization and follow-through; ability to manage multiple deadlinesExcellent written communication and professional judgmentHigh discretion in handling sensitive financial and legal informationProficiency with spreadsheets, calendars, and document tools (Google Workspace or Microsoft 365, PDF editing)You must live near the US border
Preferred QualificationsExperience with real estate transactions (land, commercial, title/escrow, due diligence, closings)Experience supporting a fast-moving founder or ownerFamiliarity with seller financing or loan servicing coordinationExperience with tools such as Airtable, Asana, Monday.com, Notion, or CRM systems
Salary & ScheduleFT: Monday to Friday, 8 am - 6 pm PSTPay rate: The rate starts at $20 USD per hour
