Rental Coordinator

About the role

O-Max Staffing is hiring a Rental Coordinator to manage the leasing process from lead generation through tenant move-in. The role connects leasing, maintenance, brokers, and applicants to help lease apartments quickly while maintaining company approval standards and minimizing vacancies.

Responsibilities

• Manage rental applications from submission through final decision: organize applications, verify documentation, review applications against company criteria, and approve or deny applicants based on company standards.
• Conduct credit reviews, income and employment verification, landlord reference checks, and court and eviction history reviews.
• Follow up on incomplete applications and maintain organized digital applicant records.
• Track applicants through lead, showing, application, document collection, approval, deposit collection, lease execution, and move-in stages. Ensure applicants do not stall in the process.
• Coordinate with external leasing brokers by monitoring showings, reviewing reporting, following up on inactive listings, identifying underperforming units, escalating pricing or marketing concerns, and maintaining communication.
• Develop and maintain an internal leasing funnel by collecting apartment photos and videos, creating property listings, and posting vacancies on Facebook Marketplace, Facebook Groups, Zillow, Craigslist, and other rental platforms.
• Respond promptly to inquiries, maintain consistent posting schedules, and track lead sources.
