The Senior Travel Planner manages B2C and B2B inquiries from first contact through confirmation and handover to Operations. This role requires understanding each client’s interests, travel style, priorities, and budget; turning those insights into a creative, well-paced itinerary; preparing accurate, commercially sound proposals; and following up confidently throughout the sales process.
The planner will work closely with clients, international travel advisors, tourism suppliers, and Costa Adventures’ Operations/Concierge team to ensure that every confirmed journey is carefully designed, clearly documented, and ready for seamless execution.
KEY RESPONSIBILITIES
Client consultation and sales:Manage inquiries professionally through email, telephone, and video calls.Build trust with international travelers and travel advisors through warm, responsive, and knowledgeable communication.Understand each client’s expectations, interests, budget, and travel style, and recommend the most appropriate trip direction.Prepare and present persuasive proposals, manage revisions, follow up consistently, and convert qualified inquiries into confirmed bookings.Develop lasting B2C and B2B relationships that encourage repeat business and referrals.
Itinerary design and quotation:Design highly personalized itineraries with logical routing, realistic pacing, suitable accommodations, private services, and distinctive local experiences.Prepare accurate quotations and protect appropriate margins while delivering strong value to the client.Handle complex, high-value, and VIP travel requests with discretion, sound judgment, and close attention to detail.Maintain accurate and current client, quotation, and sales information in TourPlan and the company’s other systems.
Coordination and service quality:Work closely with suppliers and internal teams to verify availability, special arrangements, service details, and booking conditions.Prepare complete, accurate, and timely handovers to the Operations/Concierge team once a trip is confirmed.Anticipate potential issues, solve problems proactively, and communicate changes clearly.Maintain Costa Adventures’ standards for personalization, accuracy, responsiveness, profitability, and exceptional client care throughout the sales process.
REQUIRED EXPERIENCE AND QUALIFICATIONS
Candidates should meet the following requirements:At least three years of experience as a Travel Planner, Travel Designer, or similar professional within a destination management company or incoming tour operator.Proven experience designing and selling tailor-made travel for international clients, ideally in the luxury or high-end market.Strong knowledge of Costa Rica’s principal tourism regions, accommodations, experiences, and travel logistics. Knowledge of Panama is preferred but not mandatory.Full professional fluency in written and spoken English and Spanish.Strong sales ability, including client qualification, consultative selling, disciplined follow-up, and closing.Excellent organizational skills and the ability to manage multiple inquiries, deadlines, and priorities without sacrificing accuracy or service.Experience with TourPlan is highly desirable; familiarity with WETU, CRM platforms, itinerary-building software, and Microsoft Office is an advantage.Studies in Tourism, Travel, Hospitality, Business Administration, or a related field.Legal authorization to work in Costa Rica.Availability for occasional familiarization trips and site inspections.Previous experience working remotely is preferred.

WORKING ARRANGEMENT
Full-time position based in Costa Rica.Hybrid and primarily remote, with an average of one to two days per week at the San José office in Escazu.Normal schedule: Monday through Friday, 8:00 a.m. to 5:00 p.m., plus two Saturdays per month until 12:00 noon, within the company’s established 42-hour workweek.Participation in a rotating after-hours emergency-phone schedule, normally assigned one week at a time and shared among approximately three to four qualified team members.Occasional travel within Costa Rica or/and Panama for inspections, training, supplier meetings, negotiations, and product development.
