OverviewWe're hiring our first-ever Operations Coordinator. This isn't a slot in an existing team; it's a net-new, individual contributor role reporting directly to the Head of Operations, with real ownership from day one.
You'll take full end-to-end control of PO processing and inventory management, working hand-in-hand with our fulfillment center (EST-based) to keep product moving flawlessly from manufacturing to shelf. That frees up our Head of Operations to focus on strategy, while you own the execution.
There's no team to manage here, and that's by design. Your growth path isn't about headcount, it's about scope. As you prove out the fundamentals, you'll be looped into bigger, more strategic conversations across the business. As our first operations hire, you're not just filling a role you're building the playbook the entire ops function will run on as we scale.
ResponsibilitiesOwn full end-to-end PO (purchase order) processing and inventory management, with oversight (not day-to-day management) from the Head of Operations.Coordinate closely with the company's fulfillment center (Eastern Standard Time) to ensure smooth execution.Support sales operations: analyze data, build dashboards, and create reports.Maintain and update store counts and related data across Excel/Google Sheets.Within the first 30 days: ramp up on food & beverage / CPG industry fundamentals (if not already familiar).Within the first 60 days: take full ownership of PO processing.Within the first 90 days: begin setting and refining new operational processes alongside the Head of Ops, bringing in outside experience to improve existing workflows.Maintain a near-zero error rate on PO processing — proactively catch and resolve mistakes rather than waiting for them to be flagged.
Main QualificationsPrior experience in supply chain / logistics coordination (required).Highly analytical and detail-oriented. This role has zero tolerance for careless errors.C1/C2 Level of written and oral EnglishProficient in both Excel and Google Sheets (must know both, not just one).Proactive, scrappy, and resourcefulComfortable working at a small company with limited resources and figuring things out without hand-holding.Ambitious and driven, with the ability to take initiative rather than wait for direction.Able to work within a time zone overlapping Eastern Time and Pacific Time (team is split between EST and PST); must be available while the EST-based fulfillment center is active.Experience specifically in food & beverage or CPG retail (vs. supply chain/logistics in another industry)
Nice to HaveFamiliarity with distributor portals such as UNFI and KeHE.Experience with EDI platforms, particularly SPS Commerce, and related retail terminology (e.g., Advance Ship Notice, PO Acknowledgement).Familiarity with Shopify and Faire.Experience with a warehouse management system (any system — makes learning theirs easier).Experience with an ERP or logistics/inventory management system.Prior experience working with US-based companies (helpful, but not a filter — driven candidates without it can ramp up quickly).
