Key Responsibilities Manage the CEO’s calendar, scheduling meetings and ensuring timely follow-ups via email and phone to maintain seamless executive operations. Coordinate internal and external communications to support clear and efficient information flow across departments and stakeholders. Plan and book travel logistics, optimizing itineraries to balance cost and convenience for business trips. Track payroll and coordinate timely payments to employees and contractors, ensuring accuracy and compliance. Handle vendor bill payments, invoicing, and payment reminders to maintain strong supplier relationships and healthy cash flow. Coordinate project tasks and support Software QA and Data QA processes to uphold high-quality standards in deliverables. Optimize workflows and document procedures to improve operational efficiency and support scalability. Support client onboarding, account management, and ongoing client relationship coordination to enhance customer success and retention. Build sales prospect lists, assist with CRM management, and coordinate podcast scheduling to drive sales growth and brand visibility. Leverage AI tools to automate workflows, improve output quality, and identify process improvements for continuous operational excellence. What We're Looking For Required: Advanced English proficiency (C1 level), fluent in spoken and written communication. Strong proficiency in Google Workspace (Docs, Sheets, Slides, Gmail) and CRM software. Minimum 2 years experience in executive support, operations, or virtual assistant roles. Excellent organizational skills with the ability to multitask and prioritize in a fast-paced environment. Experience with payroll, invoicing, and vendor payment processes. Familiarity with project coordination, QA processes, and workflow optimization. Ability to work independently, proactively identify issues, and implement solutions. Preferred: Experience using AI and automation tools to enhance operational efficiency. Background in customer success or sales support roles. Knowledge of travel planning and logistics management.
