Job description
We’re Hiring! Operations Manager
UrbanArt Commission | Memphis, Tennessee
Full-Time | $40,000–$45,000 Annually | Hybrid Schedule
UrbanArt Commission (UAC) is looking for an organized, dependable, and detail-oriented Operations Manager to join our small nonprofit team.
This is a hands-on administrative position focused on keeping our office, records, systems, and recurring activities organized. We are looking for someone who enjoys working behind the scenes, keeping track of details, and helping things run smoothly.
The position supports our existing staff and programs. Many responsibilities follow established procedures and occur weekly, monthly, or during specific times of the year.
What You’ll Do
Office & Administrative Support
* Keep office supplies stocked and help manage routine office needs.* Organize invoices, receipts, vendor documents, and other administrative records.* Maintain organizational files, important documents, and recurring deadline calendars.* Help ensure records are easy to locate and up to date.
Project & Program Administration
* Prepare weekly City of Memphis project updates using information provided by our project managers.* Maintain organized project files and assist with public art inventory records.* Help keep project information and photographs organized for website updates.* Maintain internal tracking systems, including Trello, and assist with routine Submittable administration.
Donations & Organizational Reporting
* Prepare and send donor acknowledgment letters using Network for Good.* Keep donor acknowledgment records organized.* Maintain information about artists, projects, programs, events, and community participation for UAC’s annual report and other reporting needs.
Events & Program Support
* Help coordinate supplies and materials for artist workshops and community programs.* Assist with organizing canvases, supplies, and event preparations for our annual 6x6 Canvas for a Cause fundraiser.* Help ensure staff have the materials they need for scheduled activities.* Participate in occasional community meetings, public art events, and neighborhood activities alongside UAC staff.* Organize and store reusable supplies after programs and events.
What We’re Looking For
We would love to find someone who:
* Is organized, dependable, and pays attention to details.* Can manage recurring tasks and follow through on deadlines.* Is comfortable using Google Docs, Google Sheets, email, and other office technology.* Communicates well and enjoys working with a small team.* Takes initiative and can work independently once trained.* Is comfortable learning systems such as Trello, Submittable, and Network for Good.* Has previous administrative, office coordination, or operations support experience.* Has a genuine interest in public art and understands how it can positively impact neighborhoods and bring communities together.* Enjoys connecting with people and is willing to participate in community activities and build positive relationships with the people UAC serves.
We are looking for someone who wants to be connected to the work we do, not just the administrative tasks that support it. While much of this position is office-based, being present in the communities we serve and supporting our team during community activities is an important part of UAC’s culture.
Nonprofit experience is helpful but not required. Familiarity with public art is not required, and training will be provided on UAC’s systems and procedures.
What We Offer
We believe in supporting our team with a healthy work-life balance, flexibility, and meaningful benefits.
Salary & Benefits
* Annual Salary: $40,000–$45,000, based on experience.* Health Insurance: 100% employer-funded employee health insurance through Blue Cross Blue Shield of Tennessee.* Paid Holidays: 13 paid holidays, plus an additional paid day off for your birthday.* Paid Vacation: 15 vacation days annually.* Paid Sick Leave: 8 sick days annually.* Retirement: Access to a 401(k) retirement plan (non-matching).
Work Schedule & Flexibility
This is a full-time position requiring 37.5 working hours per week.
UAC offers a hybrid schedule designed to provide flexibility while ensuring consistent availability and collaboration.
* Monday & Friday: Remote work.* Tuesday, Wednesday & Thursday: In-office work.* Core Working Hours: 10:00 AM–5:00 PM, Monday through Friday, with a 30-minute unpaid lunch break.* Flexible Hours: Employees have flexibility to schedule an additional five working hours each week to meet the required 37.5 hours.
This schedule allows employees to enjoy the benefits of remote work while remaining connected to their colleagues and the communities we serve.
