Billing Specialist

JOB SUMMARY
The Billing Specialist is responsible for invoicing for all customers and ensuring all orders are completed properly with appropriate approvals and backup. This position is responsible for invoicing all customers for all terminals across the United States. They work closely with the terminals when documents or approvals are missing before sending out invoices. Some customers require updating or invoicing on their own website, so the billing specialist must know each customer’s requirements and ensure each load is updated accordingly. They work closely with the accounting department and work to ensure the chain of events to complete orders runs smoothly. The billing specialist is also responsible for handling/resolving any disputes or billing inconsistencies with the customer and terminal and must respond on time to any customer concerns or emails.
ESSENTIAL FUNCTIONS
Support for Accounting• Communicate with many different customers and know the billing requirements for each one, including any websites or follow-ups that are required.• Invoice customers after making sure all orders were completed properly with appropriate approvals in backup and updated websites as needed.• Some customers require weekly manifests that the billing specialist needs to review for accuracy before sending.• Invoice for Depot Systems customers as assigned.• Communicate with terminals so they know the situation when problems arise.• Collaborate with other billing specialists in the department.• Work with team members and accounts receivable to solve payment issues or discrepancies.Collaboration and Communication:• Collaborate closely with the Accounting Team.• Foster a collaborative environment within the team and other divisions to enhance overall performance.• Communicate effectively with team members, providing clear guidance and support.Additional Responsibilities:• Perform other duties as assigned by management to support the overall objectives of the team.
QUALIFICATIONS• High school diploma or equivalent; college degree preferred.• Billing experience in U.S environments.• Experience in transportation and customer invoicing is a plus.• Ability to perform in high-intensity situations to meet deadlines.• Accountable to company core values: Customer and Contractor Focused, Innovative, Relationship Builder, Accountable, Purposeful Communicator, and Exceeds Expectations
