Clinical Research Scheduler & Administrative Coordinator – RemoteLocation: Remote – Colombia / MexicoEmployment Type: Full TimeSchedule: Monday to Friday, after 9:00 AM PTEnglish Level: C1 (90%)Experience: 1–2 years in customer service, scheduling, administrative support, call center, patient coordination, or related roles.About the RoleWe are looking for a highly organized, professional, and customer-focused Clinical Research Scheduler & Administrative Coordinator to support participant recruitment and administrative operations for ongoing clinical studies.You will primarily work with warm leads—people who have already expressed interest in participating in clinical research. Your role will be to contact them, conduct an initial eligibility screening based on established criteria, answer general questions, and schedule qualified participants for appointments.During periods of lower call volume, you will also support administrative tasks, data entry, documentation, and database maintenance.Key Responsibilities📞 Lead Management & Participant EngagementContact warm leads by phone, email, and text.Explain clinical study opportunities clearly and professionally.Conduct initial eligibility screenings following established criteria.Answer general questions and communicate next steps.📅 Scheduling & CoordinationSchedule qualified participants for consultations, screenings, and study appointments.Coordinate availability and help maximize appointment attendance.Send confirmations, reminders, and follow-up communications.👥 Participant SupportProvide professional and empathetic participant support.Identify medical or complex questions and escalate them to the appropriate clinical staff.Follow established procedures and communication protocols.💻 Data Entry & Administrative SupportAccurately document participant interactions and screening results.Maintain participant records and appointment information.Assist with email management, document tracking, reporting, and database maintenance.Support data accuracy and operational efficiency.Requirements1–2 years of experience in customer service, appointment scheduling, call centers, administrative support, patient coordination, or similar roles.Advanced English – C1 level required.Excellent verbal and written communication skills.Strong attention to detail and organizational skills.Comfortable making outbound calls.Ability to manage multiple priorities in a fast-paced environment.Proficiency with Microsoft Office, Google Workspace, and web-based applications.Ability to work independently in a remote environment.Nice to HaveBilingual English/Spanish.Experience with CRM or scheduling platforms.Experience in healthcare administration, medical offices, or patient-facing roles.Exposure to clinical research or clinical trial environments.🎯 Ideal CandidateWe are looking for someone who is organized, communicative, detail-oriented, and comfortable speaking with people by phone in English.Experience in clinical research is not mandatory.
