This role is responsible for efficiently managing the procurement and supply chain of licensed sports merchandise brands within Fexpro by Fanatics, ensuring timely purchasing and full logistical coordination for the distribution and delivery of UK and International orders.The Procurement Analyst works as the direct operational support to the Sr. Analyst, covering the full order lifecycle — from PO validation through factory production, labeling approvals, ETD management, and SAGE financial entries. This professional must have solid knowledge of international purchasing, logistics, and supplier management, and be comfortable managing 10+ active programs simultaneously across factories in China and buyers in the UK.The role requires close collaboration with Sales, Product Development, Logistics, and Finance teams to ensure all orders meet brand standards, delivery timelines, and commercial commitments.
KEY RESPONSIBILITIES
1. Purchase Order Consolidation & ManagementResponsible for the consolidation, validation, and issuance of purchase orders for all UK and International programs, including:Receiving and reviewing incoming POs from UK buyers (Fanatics UK, ALDI UK, and other retail accounts); flagging errors in size runs, quantities, pricing anomalies, and below-MOQ SKUs before distributing to factories.Communicating and negotiating with suppliers on payment terms, Incoterms, quantities, and prices. Following up on Pro Forma Invoices (PI) to validate costs and delivery dates before Sr. Analyst confirmation.Distributing confirmed POs to China factories (Bemy Sports, Everbright Headwear, Fanatics China, and others) with complete VAS and production instructions.Maintaining consolidated PO tracking in Airtable, shared purchase reports, and seasonal checklists.
2. Production Planning & Lead Time ControlPlan and enforce production timelines to guarantee on-time delivery across all UK programs:Apply the standard 150-day production lead time from PO placement to Ex-Factory date for all UK and International programs.Confirm or flag factory delivery commitments based on program calendars and production capacity.Issue formal delay notices to UK buyers when lead times cannot be met, including revised ex-factory dates and full justification.Monitor production milestones by program and escalate risks proactively to Sr. Analyst before they impact delivery.
3. Contract & Proforma ReviewReview contract terms and conditions with suppliers to ensure competitive pricing and favorable conditions aligned with brand objectives:Validate Pro Forma Invoices against agreed costs, quantities, and delivery dates. Flag cost increases (e.g., price anomaly escalation: FOB increase despite volume growth) to Sr. Analyst.Ensure all orders adhere to confirmed specifications (appliqué technique, decoration methods, fabric composition) to prevent costly last-minute corrections.
4. Labels, Trims, Packaging & Hologram ManagementEnd-to-end management of all pre-production materials and approvals:Approve care labels (fiber composition, language compliance), hangtags (UPC placement, artwork), carton labels (GS1-128, Stakehill DTC), packing instructions, and VAS requirements (price stickers, sensors, RFID hangtags).Coordinate hologram purchases: calculate quantities (production units + 5% wastage), submit orders to OPSEC Delta HK, and distribute to factories.
5. Logistics Coordination & Inventory ManagementPlan and coordinate import/export logistics for all UK and International programs:One month before dispatch, send formal notification to China Office (SO) requesting ETD confirmation and shipping plan.Support logistics team with Shipping Instructions (SI) input to enable accurate transit pass creation and inventory entries.
6. Interdepartmental Collaboration & ReportingWork closely with Sales, Product Development, Finance, and Logistics to align the supply chain with commercial and financial objectives:Track UK program status in the shared Airtable with Fanatics UK program managers; support weekly ETD and milestone communications.
Requirements:
• Bachelor's degree in Logistics, Supply Chain Management, Industrial Engineering, or Business Administration.• 2-3 years of experience in purchasing, procurement, or supply chain — apparel or consumer goods.• Bilingual English / Spanish — professional written and spoken. Strong, precise email communication.• Advanced Excel: pivot tables, VLOOKUP/XLOOKUP, consolidated purchase reports and data analysis.• Proven ability to manage 10+ active programs simultaneously with high attention to detail.Knowledge of customs regulations, Incoterms, and international import/export norms (sea, air, land).Advanced English
