Job description

The Receptionist is the first point of contact for visitors, clients and callers. The role provides a professional and welcoming front-of-house service while supporting the efficient day-to-day operation of the office through effective communication, visitor coordination and general administration.

Responsibilities:
• Welcome visitors and clients promptly, determine the purpose of their visit and direct them to the appropriate person or department.
• Answer, screen and transfer incoming telephone calls professionally; take accurate messages when required.
• Manage visitor access in line with security procedures and notifications to employees.
• Monitor the general reception inbox and respond to or route enquiries appropriately.
• Maintain a neat, organised and professional reception and waiting area.
• Schedule & manage boardroom bookings and support diary coordination where required.
• Receive, record, sort and distribute mail, documents, parcels and courier deliveries.
• Provide general administrative support, including filing, data capturing, photocopying, scanning and document preparation.
• Maintain confidentiality and handle personal, client and business information with discretion.
• Support other reasonable front-office and administrative duties as assigned.

Education/Qualification:
Level of Education: Grade 12 & Certificate or diploma in office administration

Minimum Requirements:
• At least 2 years of experience in reception, customer service, front-office administration or a similar role; relevant practical experience may be considered.
• Working knowledge of Microsoft 365 applications, including Outlook, Word and Excel.
• Professional telephone etiquette and clear written and verbal communication skills.
• Ability to communicate effectively in English; proficiency in additional South African languages will be advantageous.
• Reliable attendance and the ability to work during the organisation’s standard operating hours.
