Customer Service Specialist Coordinator

Our client, a leading commercial fitness equipment company serving Puerto Rico, the Dominican Republic, and the broader Caribbean - supplying, installing, and servicing professional-grade equipment to gyms, hotels, universities, and corporate wellness centers. The company is in active growth and this is a newly created role, built from scratch.
What You Will Do
Handle all customer service inquiries via phone, email, and WhatsApp - proactively, not reactively Coordinate open service tickets and ensure every job has a scheduled resolution datePrepare and track Preventive Maintenance contract proposals and renewalsManage parts quotes, inventory records, and warranty claims end-to-endLead post-installation customer success follow-ups, including the company portal setupProduce weekly reports for senior management on service activity and pipeline status
Requirements
Fully bilingual: Spanish and English, spoken and written (non-negotiable)3+ years in customer service, service coordination, or operations support - technical environment preferredStrong proficiency in Excel or Google Sheets for tracking and reportingExceptional attention to detail and clear, professional written communicationAble to manage multiple workflows simultaneously; based in or able to commute to San Juan, PRPreferred: experience with field service platforms (Zuper, ServiceTitan), warranty processing, or commercial equipment service.
