This role is Hybrid. Candidates for this position should be located in the Greater Chicago area or Fort Washington, PA area.
The Project Coordinator’s primary responsibilities are to follow established protocols and procedures in supporting their assigned projects by evaluating and determining appropriate products, services and providing them for clients. This position works closely with Sr. Project Managers, Sales Operations and Business Development staff to research and manage options so that the best fit between client need and solution is always found. This position is responsible for matching the appropriate level of service and product to specific client profiles/budgets. The coordinator is responsible for delivering measurable results that achieve or exceed company objectives with respect to management of standard timelines, adherence to all established procedures, on demand reporting with respect to status of any specific project and related to delivery of products and services to RRG clients. The coordinator will oversee all aspects of the Production function from beginning to end and will be a key point of contact for members within other functions such as Sales Ops, Sales, Logistics, and Design Services.
Responsibilities:
Lead Projects and adhere to RRG’s Production and Project Management processes (receipt of initial inquiries, review against criteria, ongoing liaison to sales team, coordination with design services (design, renderings, specs), planning, executing, controlling, and completing the work required to achieve a specific result per client expectations/P.O.)Evaluate inquiry, determine resources needed (art, manufacturing, sourcing)Select appropriate vendors for projects and complete client grid with best choice pricingSubmit final sell pricing to BDM/SOM for reviewIssue purchase orders to approved suppliersOversee and coordinate sample (enforce established sample protocols, inspect samples, inform changes and coordinate with vendors and sales team. Make arrangement with logistics team as needed to transport samples)Perform quick and value-added review of all new inquiriesCreate and manage the quote request /bid sheet OR Development Item Grid (document shared with vendors)Create and maintain all data within JD Edwards with accuracy and timelinessInitiate proactive communications as needed with BDM/SOM so that all are aware of significant changes or identified challenges and proposed solutionsManage overall project timeline to meet deadlines and proactively alert othersMaintain client information and project filing system per established proceduresEnsure required data integrity for all on demand reporting per established process (JD Edwards, coordination of price quotes, project timeline status, etc.)Maintain accurate and timely information flow (filing protocols and procedures within Box)Meet or exceed established dates for quote turnaroundsOverall Project Timelines met or beaten for 95% of projects per yearRisks effectively managed so that margin goals are met or exceeded on averageProactively shares and updates Sales Ops and Sales to manage all internal and external expectations
Requirements:
High school diploma or equivalent requiredBachelor’s degree highly preferred1-3 years’ experience in project management or merchandising a plus or equivalent fieldExcellent interpersonal skills to interact with all parties involved with our businessWord, Advanced Excel, PowerPoint, MS Project, Internet ResearchBasic Import Logistics working knowledgeAttention to detail in a fast-paced environment; ability to multi-task and prioritizeAbility to manage multiple projects simultaneouslyTrack Milestones, follow up on action items, keep projects movingEscalate Risk, delays proactivelyHighly OrganizedExperience communicating with suppliers, manufacturersAbility to obtain quotes, compare options, negotiateAccountabilityWork independently while maintaining full accountability for achieving business objectives and delivering measurable results Demonstrates a high level of self‑motivation and a strong commitment to teamwork, consistently operating with a keen sense of urgency to drive results and support organizational goals.Occasional travel (approximately 3-5%) to attend trade shows or suppliers
Compensation: Salary Range $60K - $70K annual depending upon education and experience, with up to a 10% bonus opportunity.
