Job description

Salary Range: $30.55 – $42.99 / hour | Full-Time or Part-Time Available

Deputy Director of Administration provides multi-divisional, highly complex administrative leadership. Reporting directly to the Programs Director, the Deputy Director of Administration provides ongoing, Human Resources management, personnel records, office management, purchasing, payroll, and agency accounting systems.

DUTIES & RESPONSIBILITIES
- Fiscal & Financial Operations
- Manage administrative budgets, A/P, A/R, and routine bookkeeping functions.
- Oversee purchasing, staff travel, per diem, and payroll processing.
- Ensure timely legal compliance, financial transparency, and supporting grant/project accounting.
- Liaise with external auditors, CPA contractors, and the Board of Directors.

- Human Resources & Administration
- Administer HR operations: recruitment, hiring, employee benefits, and personnel records maintenance.
- Oversee personnel onboarding and ensure personnel matters and policy updates.
- Organize required workplace trainings and staff development materials.
- Supervise professional, technical, and clerical administrative staff.

MINIMUM QUALIFICATIONS
- Experience: Minimum five (5) years of experience in grants and grant management.
- Technical & Financial: Proficient in financial management, QuickBooks, accounting software, and MS Office (Word, Excel, Databases).
- Human Resources: Strong knowledge of HR principles, regulatory compliance, and records retention.
- Leadership & Communication: Proven ability to analyze policies, translate financial concepts, and collaborate with agency staff, CPAs, and Board members.
- Requirements: Valid California driver’s license, acceptable driving record, fingerprint clearance, and ability to lift 30 lbs. Familiarity with resources available in Amador and Calaveras counties preferred.
